Job Description:

The Administrative Assistant provides overall support for Community Arts Partnerships (CAP) and Diversity & Intercultural Development offices; oversee daily operation of both offices and assists both Directors; make decisions about dissemination of information and communicate effectively with both external/internal constituencies; multi-task, maintain organization, plan for upcoming events and programs with particular attention to detail; value the role of the artist in society; and be willing to learn about opportunities for artists. The position reports directly to the Associate Dean of Student Development.

Duties include:

  • Provide administrative support to the Associate Dean of Student Development as well as both the Director of Community Arts Partnerships and Assistant Dean for Diversity & Intercultural Development
  • Maintain a high level of communication with MICA's student population, and foster relationships with the students who actively use both offices
  • Act as a pleasant and helpful resource responding to phone calls, general e-mails, screening incoming mail and visits from students, alumni, staff, faculty and community members
  • Maintain office files, office supplies, and equipment
  • Prepare letters, memos, databases, reports, publicity, event mailings, and other office correspondences
  • Coordinate and schedule event/room reservations for programs, meetings, and events & arrange logistics
  • Maintain event detail and information for both offices' related activities on all necessary calendars and postings
  • Maintain both office budgets on Excel and manage office purchasing
  • Serve on Campus-wide and Division of Student Affairs committees as assigned
  • Lead central special projects
  • May supervise work-study students
  • Perform other related duties as assigned

Requirements:

  • 2 years experience in data entry, office management, administrative assistance, and/or project coordination
  • Excellent interpersonal skills, organizational ability, strong verbal and written communication skills
  • Enjoy working with college students
  • Sensitive to and interested in the unique concerns of students
  • Ability to work in a collaborative, arts-oriented academic environment, and believe in the value of art and creativity in the community
  • A flexible approach to a busy workload and the capacity to multi-task and make decisions
  • Ability to work  with multiple people, independently, perform under pressure, and take initiative when necessary
  • Proficiency in Outlook and MS Office package
  • Successful Candidate will be required to complete a full background check

Valued but not required:

  • Bachelors degree


Additional Information:

Salary: $13.00 per hour, negotiable and commensurate with experience; includes extensive benefits package.
